ABSTRACT:Managing business deals is not an easy task, particularly for those companies that have dozens or hundreds of deals at the same time. In the context of diamond trading, export, manufacturing and logistics, single deal could involve a number of steps, including negotiation, approval, payment, documentation, shipping and others. However, such an important deals are often tracked manually in the spreadsheets or via emails, phone calls and various other methods. While it could be acceptable for companies with a small number of deals, for the firms that have hundreds of concurrent deals, it becomes a major problem. Each step requires a specific action on the part of employees, and any mistake, delay or failure to complete the necessary documentation could result in deal failure. To resolve this issue, this paper proposes DealGuard AI, an Android-based application that will manage and track business deals. Android based application will be developed using Android Studio and Kotlin language, while Jetpack Compose and MVVM architecture will be utilized for UI and structure design. Firebase will be integrated for authentication and synchronization purposes, and the Room Database will be used for storage. In addition, the system will include an AI-based feature for the risk prediction and mitigation. The AI feature will be based on XGBoost algorithm that will predict the likelihood of a deal to reach a certain stage. Factors that will be considered are current stage of the deal, time to accomplish the stage, percentage of completed tasks, similar deal data and employee workload. Based on these factors, the system will utilize probability distribution to recommend a risk level, ranging from Low to Critical. In addition, the app will notify employees about issues and escalate them to a Manager, Department Head and CEO in case of unresolved problems. Finally, the application will include OCR-based document scanning and verification feature that will be used for invoices, shipping documents, and other papers. Overall, DealGuard AI is designed to streamline the deal management process and reduce the risks associated with concurrent deals. As the paper discusses a proposed system, the main focus was on the design and methodology rather than implementation and results.
